The services will be paid for in full when the services are ordered.

All information, descriptions, or images that we provide about our goods and services are as accurate as possible. However, we are not legally bound by such information, descriptions, or images as we cannot guarantee the accuracy of all goods and services we provide. You agree to purchase goods and services from our Site at your own risk.

We reserve the right to modify, reject or cancel your order whenever it becomes necessary. If we cancel your order and have already processed your payment, we will give you a refund equal to the amount you paid. You agree that it is your responsibility to monitor your payment instrument to verify receipt of any refund.

Our Site may offer goods and services from third parties. We cannot guarantee the quality or accuracy of goods and services made available by third parties on our Site.

Subscriptions
Your subscription automatically renews and you will be automatically billed until we receive notification that you want to cancel the subscription.

Cancellation Window:
XenPay subscriptions operate on a month-to-month basis and may be canceled with 30 days’ notice.

How It Works:

You may submit a cancellation request at any time.

Your subscription will remain active for 30 days after the request.

No additional monthly charges will apply beyond the 30-day period.

All resident accounts, billing cycles, and payment workflows will continue to operate until the cancellation becomes effective.

XenMedCare Talent Network – Membership Plans

Term Length:
All Talent Network memberships are billed on an annual (12-month) term.

Cancellation Window:
You may cancel your membership with 30 days’ written notice prior to your renewal date.

How It Works:

Membership remains active for the full annual term once enrolled.

A cancellation request may be submitted anytime during the year.

Cancellation becomes effective at the end of the current annual term, provided the 30-day notice requirement is met.

Early termination does not result in prorated refunds due to dedicated staffing resources and network infrastructure.

Policy Assistant – AI-Powered Compliance & Trust Layer

Term Length:
Policy Assistant subscriptions operate on an annual (12-month) term, aligned with enterprise compliance cycles and deployment timelines.

Cancellation Window:
Subscriptions may be canceled with 30 days’ written notice prior to the renewal date.

How It Works:

Subscriptions are billed for the full annual term upon activation.

You may request cancellation at any point within the year.

Cancellation becomes effective at the end of the active annual term, provided a 30-day notice is submitted.

No prorated or partial refunds are offered due to ongoing model tuning, governance setup, and trust-layer infrastructure support reserved for each organization.

Payments
We accept the following payment methods on our Site:

When you provide us with your payment information, you authorize our use of and access to the payment instrument you have chosen to use. By providing us with your payment information, you authorize us to charge the amount due to this payment instrument.

If we believe your payment has violated any law or these Terms and Conditions, we reserve the right to cancel or reverse your transaction.

Consumer Protection Law
Where any consumer protection legislation in your jurisdiction applies and cannot be excluded, these Terms and Conditions will not limit your legal rights and remedies under that legislation. These Terms and Conditions will be read subject to the mandatory provisions of that legislation. If there is a conflict between these Terms and Conditions and that legislation, the mandatory provisions of the legislation will apply.

  If our payment processor’s risk or compliance team requires further documentation (such as business verification), they may contact you directly, and our team will be notified to assist as needed;
• Payment Processing & Seller Agreement (Finix Compliance Requirement)
  
  All payment processing services for XenMedCare Network LLC, including credit card payments, ACH transactions, resident billing, facility payouts, and subscription-related charges, are provided by Finix Payments, Inc. (“Finix”).
  
  By creating an account, purchasing a subscription, enrolling in XenPay, receiving payouts, or using any payment-related features on our Site, you agree to be bound by Finix’s Terms of Service and Privacy Policy, which govern the processing and settlement of all transactions.

  By using our payment services, you authorize XenMedCare Network LLC to share your information with Finix for the purposes of underwriting, identity verification, compliance review, fraud monitoring, transaction processing, and payment settlement.   Finix may request additional documentation from you (or your facility) to satisfy regulatory and compliance obligations. Finix may approve, restrict, or deny your ability to accept payments or receive payouts based on its risk assessment, as required by law. Payout timing, limits, or holds may be imposed according to Finix’s policies.
  
  Your continued use of XenPay or any payment-processing feature constitutes acknowledgment and acceptance of Finix’s Terms of Service, Privacy Policy, and operating requirements.
  
  Disclosure of Payment Processing Fees
  
  All payment processing fees associated with XenPay or any subscription service will be clearly disclosed during onboarding, at checkout, in your subscription agreement, or within your billing dashboard. By subscribing or processing payments through our platform, you acknowledge and agree to these fees..

Severability
If at any time any of the provisions set forth in these Terms and Conditions are found to be inconsistent or invalid under applicable laws, those provisions will be deemed void and will be removed from these Terms and Conditions. All other provisions will not be affected by the removal and the rest of these Terms and Conditions will still be considered valid.

Changes
These Terms and Conditions may be amended from time to time in order to maintain compliance with the law and to reflect any changes to the way we operate our Site and the way we expect users to behave on our Site. We will notify users by email of changes to these Terms and Conditions or post a notice on our Site.
